Now hiring a part-time Administrative Assistant / Bookkeeper

The person to fill this part-time position will be required to work between 20-24 hours per week, with flexibility in scheduling during office hours

Reports to:  Executive Director
Purpose:  To support day-to-day operations and bookkeeping of a small non-profit organization
Status:  Non-exempt

Job Description: The Administrative Assistant/Bookkeeping position would be responsible for providing office support, clerical, and daily bookkeeping tasks to ensure the Epilepsy Foundation of Kentuckiana adheres to best practices and requirements for non-profit business operations and reporting. Confidentiality, efficient time management, excellent organizational skills, and attention to accuracy are essential qualifications of this position, as is the ability to communicate clearly.
  
Bookkeeping
  • Proficient in all aspects of managing QuickBooks Online
  • Process all payables and receivables in a timely manner
  • Process payroll, 403b installments, and all tax related reports using QuickBooks Online
  • Prepare appropriate financial reports for quarterly Board of Directors meetings
  • Provide treasurer with financial reports for approval prior to board meetings.    
  • Work with auditor on annual audit report by providing all requested financial records
  • Provide all required reports to the national Epilepsy Foundation 
  • Work with staff to prepare reports for funding sources
 
Administrative Support
  •  Manage and maintain donor management databases and fundraising system 
  • Prepare financial reports for quarterly Board of Directors meetings. Print agenda, financial and staff reports to compile in packets for board members          
  • Maintain organizational files and documents
  • Manage maintenance and repair of all office equipment
  • Perform general administrative support to executive director and staff
 
Special Events
  • Assist staff with coordination of event logistics
  • Coordinate registration at events
  • Assist with any other special event needs
 
Communications
  • Assist with print and electronic newsletters
  • Assist with donor communications, including appeal and thank you letters
  • Prepare mailing database for newsletter /email mailings
  • Maintain organizational archives
 
Take on additional tasks as directed by the executive director
 
Requirements: Minimum two years related office and bookkeeping experience using QuickBooks Online; nonprofit experience a plus. Proficiency with spreadsheets, databases, and word processing. Ability to multi-task and prioritize in a dynamic work environment. Strong attention to detail and ability to work as a team member with minimal supervision. Solid written and oral communication skills and excellent phone manner.  Ability to develop effective work plans, organize details, set priorities, and meet deadlines. Ability to operate and troubleshoot standard office equipment.

Now Hiring an Events, Marketing, and Communications Specialist (Full Time)

​Job Description: The Epilepsy Foundation of Kentuckiana is seeking a self-motivated, articulate, and outgoing Events, Marketing, and Communications Specialist to develop, implement and deliver events that build relationships, increase epilepsy awareness and funds, and amplify brand awareness. The ideal candidate must be passionate, engaging, thrives on success, and willing to help the Foundation lead the fight to overcome the challenges of living with epilepsy, and to help accelerate therapies to stop seizures, find cures, and save lives throughout Kentucky and southern Indiana.
 ​
Qualifications: Bachelor's degree in marketing, communications, public relations, or business. At least two years of experience successfully organizing and executing special events, marketing, and communications.

Responsible to: Executive Director

​Responsibilities include:
  • Create and implement marketing of all outreach and awareness campaigns, educational programs, and special events through our social media outlets, email campaigns, and newsletters to the media, level four epilepsy centers and neurology offices, hospitals, schools, community agencies, Chambers of Commerce, etc.
  • Responsible for the planning, promoting, securing sponsors and auction/raffle items, coordinating, and successfully executing all aspects of special events including, but not limited to the following events: Walk to END EPILEPSY, Golfer’s Gauntlet, and the Expressions of Hope Gala.
  • Develop and monitor annual and long-range plans and budgets for all special events.
  • Work with planning committees and help recruit new members.
  • Develop, maintain, and enhance relationships with media outlets across Kentucky and southern Indiana.
  • Manage and optimize website and CRM.   
  • Research, prepare, and submit grant applications to request pharmaceutical and corporate sponsorship support for programs and special events. 
  • Maintain records of all events and marketing efforts to fulfill requirements of grants and other funding sources.
  • Administer all aspects of records management for special events in fundraising database including entering donations, generating reports, and sending thank you letters.
  • Oversee all third-party events.
  • Promote and handle corporate matching gifts.
  • Assume additional duties as designated by the Executive Director.
 
Requirements:
  •  Responsible for maintaining confidentiality of all documents related to consumers and donors. Follow HIPAA policies and procedures.
  •  Competent and effective verbal and written communication skills.
  •  Proficient in Microsoft Office Suite.   
  •  Meticulous attention to detail.
  •  Multi-tasker with strong work ethic.
  •  Superior interpersonal skills.
  •  Strong leadership qualities.
  • Must possess a valid driver's license, automobile insurance, and have reliable transportation.
 
This position is FLSA exempt
